Sales report: net sales, bills, discounts, refunds, VAT and sales by time range
Choose dates and a branch, read net sales, bills, discounts, refunds and VAT, drill into a day down to its bills, export to Excel and print sales by time range.
Choose the period, branch and view
The reports area has tabs at the top: Store overview, Sales, Time range, Gross margin, Stock loss and Risk review. On the Sales tab, choose the period, the branch and a Daily, Weekly or Monthly view. Figures follow each branch's business day and time zone.
Steps
- Tap a periodToday, Yesterday, 7 days, 30 days, This month or Custom (choose dates, then view).
- Choose a branch or all branchesThe branch box appears when the store has more than one branch.
- Choose Daily, Weekly or Monthly
Good to know
- The page link keeps the chosen period, branch and view, so you can send it to a colleague to open the same report.
Read the Sales screen
The top cards show net sales in this period (against the previous period of the same length), bills and average bill value, discounts, refunds and VAT included in sales. Below are the net sales trend chart, a table by day, week or month (sales, discounts, refunds, net, bills), top categories and top staff by sales.
Good to know
- The Gross profit this period card appears only for people who can see costs. If some menu items have no cost yet, it shows how many are missing instead of an incomplete profit. Tap the card to open the gross margin report.
- The VAT card is after credit notes and appears only for people allowed to see financial figures.
Drill into a day and its bills
Tap a day in the table to open its details: net sales, average bill, peak hour, hourly sales, the top 3 items and the payment-method split (hourly details are in the Daily view only). Tap View bills on the row, or the net sales card, to open Bill history for the same date and branch.
Numbers missing or not matching
The sales report reads summary data the system has calculated. The time label in the header shows when it was last calculated. If a bill was just closed and the figure has not moved, or the screen says the period has not been computed, tap Recalculate. A period that has not been computed does not mean zero sales.
Steps
- Check you chose the same dates and branch as the figure you compare with
- Tap Recalculate and wait for the figures to reload
- Tap View bills to check the source bills in Bill historyLook at voided, refunded and discounted bills for that day.
- To compare with cash in the drawer, use the shift screen; this report counts by day, not by shift
Good to know
- Net sales = sales minus discounts minus refunds.
Export to Excel and for FlowAccount
Tap Export Excel to download the sales table for the chosen period and branch. When the store has accounting export switched on, an Export for FlowAccount button gives a file of sales, tax invoices and refunds for the same period to import into accounting software.
Good to know
- Export for FlowAccount appears only for people who can see financial reports, and when the owner has switched the feature on in Settings > Store features.
Sales by time range and printing
The Time range tab summarises one branch for the dates you pick. It opens on today's figures: net sales, bills, cash collected and PromptPay collected, plus sales, discounts, refunds, tips and voided bills. Tap Print to print it on A4 paper.
Steps
- Open the Time range tab
- Choose the branch and dates, then tap Generate report
- Check the figures, then tap Print
Good to know
- This is not a shift close-out report. The expected cash in the drawer is on the shift screen.
