Bill History: find bills, refund and reopen
Find bills by date, branch, status or bill number, check items and payments, refund (whole bill or in part) and reopen a bill within 24 hours.
Find a bill and see its details
Choose a date range, branch and status (open / parked / closed / voided / refunded) or type in Search bill number. Tap a bill to open its details: items sold, discounts, each payment, tip and the bill's activity history.
Good to know
- A slip photo taken during a PromptPay payment can be opened only by people allowed to view payment evidence.
Reprint a receipt
Receipts are printed from the receipt window that opens after payment on the POS; tap Print again before closing it. A closed bill's receipt can be printed again from Bill History: open the bill and tap Reprint receipt. A reprinted receipt says COPY at the top.
Good to know
- A credit note issued by a refund can be opened and printed from the Open credit note link in the bill details.
Refund a closed bill
Open the closed bill, tap Refund…, enter a reason and tap Confirm refund. A whole-bill refund returns every payment on the bill, puts the stock back and adjusts loyalty points. Amounts above the store's ceiling need a manager PIN.
Steps
- Find and open the bill to refund
- Tap Refund… and enter the reason
- If the bill has a tax invoice, enter the buyer's name and address for the credit note
- Tap Confirm refundAbove the ceiling a manager picks their name and enters their PIN
Good to know
- Money the customer paid by a method other than cash has to be sent back by the store outside BoxBak; the system records the refund.
- If the refund times out, do not retry at once; open the bill details again to check its status first.
- Never use a drawer cash out instead of a bill refund.
Partial refunds
Where partial refunds are switched on, the refund form offers Whole bill / Pick items / Enter amount. Pick items refunds what the customer paid less what the items they keep cost (buy X get Y, combos, bill offers and codes are re-judged on what is kept; staff discounts and points are shared pro rata); the screen shows the exact refund before you confirm, and only the chosen quantity goes back to stock. Enter amount is for compensating a customer and returns no stock. A bill already partly refunded can always be refunded for what is left.
Reopen a bill to correct it
For a bill closed less than 24 hours ago tap Reopen bill, enter a reason and confirm. The bill goes back to open on the POS. What was paid still counts as paid, so closing it again collects only the difference. If the new total is lower than what was paid, use Void and ring up a new bill in the payment window.
Good to know
- A bill cannot be reopened after 24 hours, after a refund, or once a tax invoice was issued.
