Opening and closing shifts, counting cash and the Z-Report
Open a shift with the opening cash float, record cash in and cash out, count the drawer at close to see short or over, and print each shift's Z-Report.
Open a cash shift
On the Cash Drawer page choose the branch, count the change in the drawer before selling, enter the total as the opening cash float and tap Open shift. Each branch has one open shift at a time. The field starts with the cash counted when the branch's last shift closed; change it if the drawer holds a different amount.
Steps
- Open the Cash Drawer page and check the branch at the top
- Count the change in the drawer and enter the total
- Tap Open shift and start selling
Good to know
- Without an open shift a bill still closes, but its cash is not counted in any shift's drawer, so always open a shift before taking cash.
Cash in and cash out during a shift
For money added to or taken from the drawer that is not a sale, tap + Cash in or − Cash out, enter the amount and a reason (for example getting change, banking cash) so the expected cash matches what is really there.
Good to know
- Entries cannot be edited or deleted; if one is wrong, record a reversing entry.
- Drawer movements are not copied into the store cash book automatically.
- Never use cash out instead of a customer refund; refund from Bill History.
Count the cash and close the shift
Tap Close shift and count cash, count the whole drawer and enter one total. Expected cash is opening cash + cash sales − cash refunds + cash in − cash out, and the screen shows even, short or over. When you tap Confirm shift close the difference is saved permanently on the Z-Report.
Steps
- Stop taking cash in this shift
- Tap Close shift and count cash, then enter the cash you counted
- Check expected cash and the differenceIf short or over, look for cash in or cash out you forgot to record, then enter why the cash is short or over (needed to close; it is kept with this close)
- Tap Confirm shift close
Good to know
- A closed shift cannot be edited; check everything before confirming.
Read and print the Z-Report
Tap View Z-Report to see sales, bill count, totals by payment method (cash / PromptPay), discounts, voids, refunds, VAT and the cash drawer reconciliation. Tap Print to print it. Closed shifts are listed further down the page so you can open older Z-Reports.
Good to know
- While a shift is still open its Z-Report figures change with every new sale.
