VAT settings and full tax invoices
Set whether the store is VAT-registered, whether menu prices include VAT, the business details and invoice numbering, then issue full tax invoices from the receipt on the POS.
Set up the store's tax
On the Settings › Tax & tax invoices page, under VAT and Invoices, switch on VAT-registered store if the store is registered, enter the VAT rate and choose whether menu prices are VAT included or VAT excluded. Then fill in the 13-digit Tax ID, legal name, registered tax address, head office or branch, and the invoice number prefix and series, and tap Save tax and invoice settings.
Good to know
- A store that is not VAT-registered cannot issue tax invoices; its receipts are ordinary receipts.
- VAT is always calculated on bills; no extra feature is needed for that.
Issue a tax invoice for a bill
After payment, the receipt window on the POS shows an Issue tax invoice button. Tap it and fill in the buyer: type (company or individual), name, address and, for a VAT-registered buyer, the 13-digit taxpayer ID (the check digit is verified) and head office or branch number. A returning business buyer can be picked from the saved list. Tap Issue tax invoice: the next number is assigned, the receipt prints the buyer, and Print A4 gives the full-page invoice. A bill can have only one tax invoice; if the customer asks later, issue it from Bill History.
Steps
- Finish the payment so the receipt window opens (or open the bill in Bill History)
- Tap Issue tax invoiceOnly people allowed to manage tax see the button
- Find a saved buyer, or type the name, address, taxpayer ID and head office / branchTick Save this buyer for next time for a returning customer
- Tap Issue tax invoice, check the number and buyer on the receipt, then tap Print or Print A4
Good to know
- No button? Check that the store is VAT-registered with complete details, and that the owner switched tax invoices on in Settings › Store features.
- Without buyer details a business customer cannot claim the input VAT; to add a buyer to an issued invoice, cancel and reissue it.
- A late invoice can be issued only within the month the bill closed; for a bill from an earlier month, the store's accountant handles it.
- The saved buyer list keeps VAT-registered buyers only and is visible only to tax-invoice holders; remove an entry from the search list.
Correct a tax document already issued
An issued invoice cannot be edited, and a bill with an invoice cannot be reopened. To give money back, refund it from Bill History and fill in the buyer's details; a tax credit note is issued automatically and can be opened and printed from the bill details or the Documents center.
Cancel a tax invoice and reissue it (wrong buyer name or address)
If the buyer's name, address or taxpayer ID is wrong or missing, open the bill in Bill History and, in the Full tax invoices box, tap Cancel and reissue. Enter the reason, say whether the paper original was collected back or never handed over, and fill in the correct buyer details. The original is cancelled (its number is never reused) and a new invoice is issued with a new number, dated as the original, with the same amounts and VAT, noting which number it replaces. Both the new invoice and the original, stamped CANCELLED, can be printed.
Steps
- Collect the original tax invoice back from the customer (if it was handed over) and keep it with the copy
- Open the bill in Bill History and tap Cancel and reissueNeeds the tax-invoice permission and above-threshold approval (owner / manager)
- Enter the reason and the correct buyer details, then tap Cancel and reissue
- Tap Print on the new invoice and give it to the customer
Good to know
- To change an amount or the VAT, this is not a reissue: refund instead, which issues a credit note.
- An invoice that already has a credit note cannot be cancelled and reissued.
