Document center: invoices, credit notes and issued documents
Find issued invoices and credit notes, print or save them as PDF and share a link with store staff, and see where other papers are printed.
Find, print and share documents
The Document center lists officially issued documents, newest first (invoices, credit notes and VAT credit notes), with number, type, party, total and issue date. Search by document number or party name, or filter by type, then open the document.
Steps
- Type a document number or party name in search, or choose a type
- Tap a document to open it
- Tap Print to print it or save it as an A4 PDF
- Tap Share link to copy its linkOnly store staff who can view documents can open it.
Good to know
- The page shows the latest 200 documents, and only documents you are allowed to open.
- The letterhead uses the legal name, tax ID and address from the Settings > Tax & tax invoices page.
Issue invoices and credit notes
Invoices and credit notes are issued from the wholesale (sales order) screen, not created in the Document center. Tap Issue invoice on a sales order, or Issue credit note on a delivery that was reversed. The number is assigned automatically and the document opens ready to print. Tapping again opens the same document, not a new number.
Steps
- Open the wholesale screen and choose the sales order
- Tap Issue invoice or Issue credit note
- The document opens in a new tab ready to print, and appears in the Document center
Good to know
- A VAT credit note for a POS bill comes from refunding a tax-invoiced bill in Bill history.
A document was issued wrongly
An issued document's number and content are locked for good; it cannot be edited or deleted. If an amount or line is wrong, fix it at the source, for example reverse the delivery in the wholesale screen and issue a credit note for it. The original document stays on record for later checks.
Other papers: receipts, purchase orders, delivery orders and payslips
Some papers print from their own pages and are not in this list: POS receipts and tax invoices print from the receipt window that opens right after payment at the POS (a closed bill's receipt can be printed again from Bill history with Reprint receipt; a reprint is marked COPY), purchase orders (PO) print from the purchase order, delivery orders (DO) print from the sales order, and payslips open from Payroll or the employee's own page. Each opens as an A4 page you can print or save as PDF.
Good to know
- The Looking for another paper? section at the bottom links to these pages, only those you can open.
