B2B wholesale: customers, wholesale prices, sales orders and deliveries
Set up wholesale customers and delivery addresses, define wholesale prices, create sales orders, issue delivery orders, confirm arrival and issue invoices.
Set up customers, delivery addresses and wholesale prices
On Wholesale customers, tap "Add customer" and then "Add Delivery Address" before you ship. On Wholesale pricing, create a catalog and add prices per ingredient: a general price, a price for one customer, or for one of their branches. The most specific price wins.
Steps
- Add the customer and delivery addresses on Wholesale customers
- On Wholesale pricing, tap "Create catalog" and then "Add price"
- Use "Check a customer's price" to see what each customer pays
Good to know
- Cost-based prices (cost + %) are recalculated when you tap "Sync prices from costs".
Create and confirm a sales order
A new sales order stays a draft until you confirm it. The Wholesale page puts work waiting for you first, such as To confirm, To ship and To invoice, longest-waiting first.
Steps
- Tap "New sales order" and choose the customer and delivery address
- Add items, quantities and units; the wholesale catalog price is filled in and stays editable
- Tap "Create sales order" to save the draft, check the total, then tap "Confirm order"
Good to know
- Remove an unused draft with "Delete draft"; a confirmed order is cancelled with "Cancel order".
Issue a delivery order, in full or in part
Open the sales order and tap "Issue delivery order". Choose the stock source branch and the quantity going out this time; partial deliveries are fine and the order status follows the quantity delivered. A delivery cannot be edited after it is saved; to correct one, tap "Reverse this delivery…" and the stock goes back to the source branch.
Good to know
- For a customer linked to one of the store's own branches, shipping becomes a stock transfer to that branch.
- Print the delivery order from the deliveries list inside the sales order.
Confirm a delivery has arrived
With delivery confirmation on, a saved delivery order is In transit and does not count as received until you tap "Confirm delivery" on it inside the sales order details.
Good to know
- If a delivery was wrong, reverse it instead of changing the original.
Issue invoices and credit notes
Fully delivered orders appear under To invoice. Tap "Issue invoice" in the sales order details. When a delivery is reversed, tap "Issue credit note" on that reversal. Issued documents open from the same button.
Bill on a cycle, record payments and see receivables
On Billing & receivables, tap a customer to set its billing cycle (every delivery, weekly, twice a month or monthly), credit term and credit limit. When a period ends, statements are issued every morning, or tap "Issue due statements". Each delivery is billed only once. Open a statement to record a payment (part payments are fine), print it as a PDF or credit it.
Steps
- Tap the customer on the Receivables tab, set the cycle, credit term and limit, and tap "Save terms"
- Tap "Issue due statements" or let the daily run issue them
- On the Statements tab, open the paid statement, enter the amount and method, and tap "Save payment"
Good to know
- Statements and payments cannot be edited or deleted; reverse a payment or use a credit or debit instead.
- The credit limit only warns when a sales order is created; it never blocks a sale.
Send customers a link to their own orders and balance
On the customer in Billing & receivables, tap "Create link" and send it. The customer opens it without an account and sees only its own orders, statements and balance, and can print statements as PDF. Links expire and can be revoked any time.
Good to know
- The full link is shown once when created. If it is lost, create a new one and revoke the old one.
Promise dates and backorders
Add a promised delivery day when creating a sales order. Backorders lists every line still owed, late promises first in red; change the promised day in the table. When part was delivered and the rest will not be sent, tap "Close backorder" with a reason.
