Guest messages: tell guests their table is ready, and confirm / remind bookings by email, phone notification or the store's LINE OA
The owner picks the channels (email, phone notifications, the store's own LINE OA). Guests choose on their ticket page and can close it; the restaurant tells them when they are almost up and when their table is ready. Bookings get a confirmation and a reminder when staff add the guest's email or the guest scans the LINE QR.
Choose the store's channels
On Settings › QR self-order, in the Guest messages section, switch on the channels the store wants. Every channel is off until the owner turns it on; one marked Not available needs your administrator's setup first. For LINE, enter the store's LINE OA ID (like @myshop) and either use the Messaging API connected in Settings › LINE integration or enter the channel access token and channel secret of the OA used for guests, then copy the Webhook URL into the LINE Developers Console and turn on Use webhook.
Steps
- Open Settings › QR self-order and pick the Guest messages section
- Switch on email, phone notifications or the store's LINE OAA channel that is not available says why
- For LINE: enter the OA ID and the Messaging API details, then copy the Webhook URL into the LINE Developers Console
- Tap Save
Good to know
- The channel access token and channel secret are stored encrypted and never shown again: you can only replace or remove them.
- A guest's email, phone notifications and LINE are used only for that ticket or booking, never sign them up for anything, and are deleted 30 days after the visit.
- How long before a booking the reminder goes is set per branch in the Reservations section (60 minutes by default).
- LINE messages count toward the store OA's monthly message quota (the store's LINE plan); when it runs out they fail. The reply a guest gets when sending their code does not count.
- A guest who sends the code is in the store OA's chat. That friendship is between the guest and LINE: BoxBak deletes only its own copy of the LINE link within 30 days, not the friendship or the chat history in LINE. A guest who blocks the OA no longer receives messages.
How guests get notified
On the ticket page guests see Get notified when it's your turn and pick Notify this phone (allow notifications in the browser; on iPhone the page must be added to the Home Screen first), Email me, or Message me on LINE (the store's chat opens with a message to send within 15 minutes). The restaurant tells them at two groups ahead (when switched on), when staff call them, and when staff close the ticket or could not find them. Guests can turn a channel off at any time.
Steps
- The guest scans the door QR and gets a ticket
- The guest picks a channel in Get notified when it's your turn, then can close the page
On the POS: channels, delivery and notify again
In Queue and Reservations each entry shows how the guest will be reached and whether the latest message went out. Calling a group sends the message without slowing the call down. If the group still does not come, tap Notify again (once per ticket). For a booking, add the guest's email in the booking dialog for a confirmation and a reminder, or tap Notify on LINE and let the guest scan the QR with their own phone.
Steps
- Check the channel badge on the queue entry or booking
- If the group has not come after the call, tap Notify againOnce per ticket or booking
Good to know
- When a channel is down the system retries for a while on its own, and the floor work never waits for it.
