Manage menu items, prices, options and recipes
Create categories and menu items, set base and branch prices, attach options, show or hide items on the POS, add ingredient recipes, and restore deleted items.
Create categories and add menu items
A menu item needs a name, a price and a category; a photo and description are optional. A price of 0 means a free item that can still be sold. If you do not know the price yet, enter 0 and come back to it later.
Steps
- Create categories first, such as Noodles or DrinksTap the arrow next to "Add new item" and choose "Manage categories"
- Tap "Add new item", then enter the name, price and category
- Add a photo and description if you want, then save
- Open the POS and check that the item shows in the right category
Good to know
- Deleting a category moves its items to "No category"; the items are not deleted.
Set a different price per branch
Stores with several branches see a "Branch prices" tab when editing an item. Enter a price only for branches that charge something other than the base price; a blank field uses the base price at that branch.
Steps
- Tap the item to open the edit panel
- Go to "Branch prices" and enter the price for each branch that differs
- Save, then check the price on that branch's POS
Options such as extra egg, less sugar or cup size
Options are grouped, for example "Sweetness level". Each option can add to the price, and the group sets how many choices the customer must and may pick. One group can be reused on many items.
Steps
- Tap "Modifier groups" at the top of the menu page, then add a new group
- Name the group, set the minimum and maximum picks, then add options with their extra price
- Open the menu item, go to the "Options" tab and tick the groups it uses
Out of stock: hide an item from the POS for now
When an item runs out, use the show/hide switch on its row, or tick "Hide from POS" in the edit panel. A hidden item cannot be picked at the POS but stays in the system with its sales history. Show it again when stock is back.
Good to know
- Hiding an item affects new orders only; bills already sold are not changed.
- To hide many items at once, tick them and use "Show/hide on POS" in the bar at the bottom.
Add an ingredient recipe (Recipe/BOM) to an item
The "Recipe/BOM" tab records which ingredients one batch of the recipe uses, how many units it makes and which packaging it needs. BoxBak uses it to deduct ingredient stock when the item is sold and to work out the cost per serving.
Steps
- Create the ingredients with the right units on the ingredients page first
- Open the item, go to "Recipe/BOM" and set how many units the recipe makes
- Tap "Add ingredient", choose it, and enter the quantity and unit
- Add packaging and other costs if any, then tap "Save recipe settings"
Good to know
- A wrong unit, such as kilograms instead of grams, throws off both stock deduction and cost.
See cost per serving and suggested prices
People allowed to see costs see the unit cost, food cost percentage and profit per serving on the recipe and overview tabs. Tap "Calculate selling price" for three suggested prices (easy to sell, recommended, profit-focused), or enter your own target cost, then pick the price to use.
Good to know
- Ingredients never received yet count as 0 baht. Receive them with a price first to get a real cost.
Edit many items at once, import and export Excel
Tap the arrow next to "Add new item" to open the menu tools: "Import Excel file" adds or updates many items from a template, "Bulk add/edit menu items" edits prices, categories, VAT and tags in one table, "Export" downloads the filtered items as Excel, and "Manage menu tags" renames or removes tags.
Steps
- Choose "Import Excel file" and download the template
- Fill in the item name and price (required), plus category, description, VAT and tags
- Upload the file, review the preview and decide whether to overwrite items with the same name
- If the import was wrong, tap "Undo this import" straight away
Good to know
- If "Overwrite existing items with the same name" is not ticked, rows whose name already exists are skipped and those items stay unchanged.
Restore deleted items or undo an Excel import
Deleted items, categories and options stay in "Deleted items" for 90 days. Restoring brings back their recipe, branch prices and linked options. Deleting many items at once asks you to type the count, and "Undo" is offered right away. Excel imports from the last 30 days can be undone as a whole; items someone changed or used after the import are left alone.
Steps
- Open the menu page and tap "Deleted items"
- Choose the Items, Categories, Options or Excel imports tab
- Tap "Restore" for one entry, or "Restore all" for a batch deleted together
- To reverse a wrong file, tap "Undo import" on the Excel imports tab
An item does not show on the POS or the price is wrong
Check that the item is not hidden from the POS, sits in the right category, and that the branch price for the branch you are selling at is right. If the item is gone completely, look in "Deleted items". If its cost shows zero, check that the recipe is complete and its ingredients have been received with a price.
