Payables, receivables and bank reconciliation
See what the store owes suppliers by age and record supplier bill payments, see wholesale receivables and delivery-app sales awaiting payout, and import the bank statement to match it with recorded money and close each month.
Payables: owed to suppliers
The Payables tab lists the supplier bills recorded in Receiving & bill matching that are not fully paid, per supplier, as not due yet, 1-30, 31-60, 61-90 and over 90 days late. Due date = bill date + the supplier's credit days: tap Set credit days to set them; if not set, the days are read from the payment terms text. Tap Record payment on a bill once you pay it (partial payments are fine).
Steps
- Open Reports › AP / AR / Bank › Payables
- Tap Set credit days for each suppliere.g. 30 days, or 0 for cash on delivery
- When you pay a bill, tap Record payment with the amount, date and method
Good to know
- A payment above the bill's open amount is refused; a mistake is reversed with a reason
- Goods received with no supplier bill yet are shown apart and are not counted as owed
- Recording a payment here does not post to the cash book
Receivables: owed to the store
The Receivables tab brings together the wholesale customers' aging from Billing and the last 90 days of delivery-app sales not yet covered by a payout statement. Each part shows when the store uses it and your account may see it.
Bank reconciliation
Add a bank account, then Import statement: choose the CSV or Excel file from your bank app. The date, description, withdrawal, deposit and balance columns are guessed for you; check them and import. Importing the same file again adds nothing. BoxBak suggests pairs with recorded money (PromptPay on bills, cash-book transfers, supplier payments, wholesale receipts, delivery-app payouts, payroll) when the amount matches and the dates are at most 3 days apart. Confirm the suggestions or tap Match to pick yourself; explain a remainder such as a bank fee with a note. When every line of the month is matched, tap Mark month reconciled.
Steps
- Tap Add bank account, then Import statement
- Check the guessed columns and import
- Confirm the suggested pairs, then match the rest yourself
- When everything is matched, tap Mark month reconciled
Good to know
- One recorded movement can explain only one statement line
- A reconciled month's matches cannot change until it is re-opened with a reason
- The AI assistant and MCP answer what is owed to suppliers and the reconciliation status, without statement descriptions
