Pre-orders and deposits: take cake and catering orders ahead, agree a date, take a deposit, apply it at the handover
Pre-orders takes orders customers place ahead: menu items with options or a custom item at an agreed price, a pickup or delivery date and time, and a deposit. The kitchen gets the order a set number of hours before it is due; at the handover the deposit is applied to the bill and the balance is collected at the till. A cancel or no-show splits the deposit by the store's policy.
Take a pre-order
Open Pre-orders and tap New pre-order. Enter the customer's name and phone, the date and time, and choose Pickup or Delivery (with the address and fee). Search the menu and pick options, or open Custom item for a made-to-order item at the price agreed with the customer. The field under each item takes the cake text or a note. Menu items are priced at the branch's regular price and the deposit is suggested from the store's percentage. Tick Confirm now when the customer agreed, then tap Save.
Steps
- Open Pre-orders and tap New pre-order
- Enter the customer, the date and time, and pickup or delivery
- Add menu items, or a custom item at the agreed pricePut the cake text in the field under that item
- Check the total and the deposit, then tap Save
Good to know
- An order can be edited until it goes to the kitchen; after that, change its bill at the till.
- The customer's name, phone and address are never written to the change history or shown on the kitchen screen.
Take a deposit, and when it counts as a sale
On the order, tap Take deposit, enter the amount and how it was paid (cash, transfer, PromptPay, card, other). A deposit is the customer's money the store holds: it is not a sale until the handover. Pre-orders shows the branch's Deposits the store holds. A cash deposit is recorded as a paid-in to the open shift's drawer, so a shift must be open. The VAT inside a deposit is recorded on the day it is received for the accountant to review.
Steps
- Open the order and tap Take deposit
- Enter the amount and how it was paid, then tap Record paymentTapping again on a slow connection never takes the money twice
Good to know
- A deposit cannot exceed the order total.
- The order's sale counts on the handover day, when its bill is paid in full.
To the kitchen, and the handover
The order goes to the kitchen by itself the set number of hours before it is due (3 by default): a takeaway bill opens and the kitchen display and kitchen tickets get the items with the cake text. To start earlier, tap Send to the kitchen now. When the kitchen is done, tap Mark ready. When the customer collects or the delivery arrives, tap Hand over: the deposit is applied to the bill and you collect the balance at the till with any payment method. If the deposit covers the whole bill, the bill closes by itself. Once the bill is paid in full the order shows Handed over.
Steps
- Let it go to the kitchen, or tap Send to the kitchen now
- When the customer collects: tap Hand over / picked up
- At the till, open the bill number shown and collect the balance
Good to know
- Voiding the order's bill at the till puts the deposit back on the order, and the order is not sent to the kitchen again by itself.
- If the order shrank below its deposit, use Refund remaining deposit.
Cancel, no-show and the deposit policy
Tap Cancel order, or Customer did not come once the order is due. The screen shows what the policy returns to the customer and what the store keeps. By default: cancelled at least 48 hours before, everything back; later, the store keeps 100%; a no-show keeps 100%. You can change the refund but must give a reason. Refunds need an account with the refund permission; cash returned is recorded as a paid-out from the drawer. The owner sets the policy in The store's pre-order policy at the bottom of the page; each order keeps the policy its customer was told when it was confirmed.
Steps
- Open the order and tap Cancel order or Customer did not come
- Check the refund and what the store keeps, choose how to refund, then tap ConfirmA refund that differs from the policy needs a reason
Good to know
- For an order already handed over, void its bill at the till first, then cancel the order.
