Team hub, employees, task assignments and payroll
Managers see who is in and decide open requests in the Team hub, keep the employee register, assign and accept tasks; the owner calculates, closes and records payroll.
Team hub: decide and see today's team
The Team hub gathers what needs a decision today: leave requests, shift-change requests, overdue tasks and tasks waiting to be accepted. Tap Approve or Reject (a reason is required) on the same page. Today's team compares shifts with actual clock-in and clock-out times and shows who is working, who is late, who has not clocked in and who may have missed clock-out.
Steps
- Pick a branch at the top, or view all branches
- Work through the decisions and tap Approve, Reject, Accept or Nudge
- Tap an employee in Today's team to see their shift, times and today's tasks
- Tap Clock in employee or Clock out employee when they cannot do it themselvesThe time recorded is the moment you tap.
Good to know
- You can nudge the same task once an hour.
- Old links to the time clock page open the Team hub.
Employee register and linking accounts
The Employees page keeps the employee code, name, position, home branch, employment type, pay type (hourly or monthly) and pay rate. An employee record is separate from a sign-in account; tap Link account to connect the right person so they see their own shifts, tasks and leave in My work.
Good to know
- Users added on Users & access get a draft employee record with pay set to 0, waiting for an employee code and pay.
- You can set the status to Active, Suspended or Terminated. Deleting an employee hides them from the list but keeps their shift and work-time history.
- Pay changes are audited.
Assign a new task
Tap New task, give it a short name, add details, and choose whether a proof photo is required on submission. Choose employees by name, or let an employee claim it (the first to tap gets it). Set the due date and time, or repeat it daily or weekly and a recurring task is created every morning.
Steps
- Tap New task from Task assignments or the Team hub
- Enter the task name and details
- Choose Choose employees or Let an employee claim it
- Set the due time, or a repeat schedule
- Tap Assign taskOr Save & assign another to start the next task right away.
Good to know
- Employees who linked LINE are notified when they get a task, are nudged or have work returned. Open tasks anyone can claim send no notification.
Follow up and accept tasks
Task assignments shows today's tasks, a chosen day, recurring tasks and all tasks. Select a row for details. For submitted work tap Accept ✓, or Return for changes with a note on what to fix. For unfinished work tap Nudge or Cancel task. Recurring tasks can be disabled or deleted on the Recurring tasks tab; tasks already created stay.
Good to know
- If this page is missing, the owner can switch on task assignment in Settings › Store features.
Run payroll: calculate, close and record payment
Payroll uses its own permission, separate from managing the team; by default only the owner has it. Tap Create run and choose the start date, end date and a branch or the whole store. Tap Calculate to build payslips from worked hours and leave, check the totals, then tap Close period to lock the figures. After paying, tap Record payment and enter the pay date.
Steps
- Tap Create run and choose the dates and branch
- Tap Calculate and check each payslip
- Tap Close period, then confirmFigures cannot be changed after closing.
- After paying, tap Record payment, enter the pay date and tap Confirm paid
Good to know
- Open a payslip from a closed period and tap Download payslip (PDF) to print or save it. If the store allows it, staff see their own payslips in My work and My money.
- A payslip shows earnings such as pay, paid leave and overtime, and deductions such as social security and withholding tax where it applies.
- Overtime for hourly staff (1.5x) covers hours worked beyond the published schedule and every hour past 8 in one work day, even when the schedule planned it (Thai LPA s.23 / s.61). A break you clock out for is not worked time.
- If something changes after calculating, such as revoked leave or edited holidays, you are asked to tap Recalculate before closing.
Social security rates and store holidays
Tap Social security / tax settings to add a social security rate by effective date (rate %, minimum base, maximum base and contribution cap). The rate in effect on the period end date is used. In Store holidays, declare your traditional holidays: hourly staff who work on them earn 2x pay, and 3x for hours beyond the normal working hours of that day.
Good to know
- Added or removed holidays affect draft runs calculated afterwards; closed periods do not change.
Pay cycle: once or twice a month
On the Payroll page, in the pay cycle settings, choose how often you pay — once a month or twice a month — and the day the cycle starts, then tap Save pay cycle. Twice a month (starting on the 1st) gives two cycles per month: the 1st–15th and the 16th–month end. Monthly staff get half their salary per cycle (over a month, the same as a once-a-month store pays, also when they start mid-month); hourly staff are paid for the hours in that cycle. Social security and withholding tax stay monthly: each payslip withholds the month to date, and the second payslip trues up to exactly what a once-a-month store deducts.
Steps
- Open the Payroll page and go to Pay cycle
- Choose Twice a month (or Once a month)This month's cycles show before you save.
- Tap Save pay cycleIf the store has finalized runs, the change takes effect on the first day of the next month; the date is shown.
- Create runs that end on a cycle end, such as the 1st–15th or the 16th–month end, then calculate and close them as usual
Good to know
- A change never re-cuts the cycle in progress or a paid one, so no day is left unpaid or paid twice. Before it takes effect, choose the old option again to cancel it.
- Finalize or cancel calculated draft runs before changing the cycle.
- If a payslip's pay cannot cover the social security or withholding it works out, what fits is deducted and the rest is recorded on the payslip with the amount; a later payslip of the month collects it when its pay allows (once-a-month stores too). With no later payslip, the store collects it another way.
- Social security and withholding tax are worked out on the wages actually earned: the salary after the unpaid-leave deduction (once-a-month stores too). A whole month of unpaid leave owes no social security.
- Twice a month: unpaid leave is deducted per month (salary / 30 per day), so the month deducts what a once-a-month store does; the second payslip deducts the rest of the month. Approve the leave before calculating the first cycle.
- If a second-cycle leave is revoked after the first cycle that deducted for it was closed, the second payslip pays it back on a "First-half deduction adjustment" line. Approving or revoking a leave marks that month's draft runs for recalculation.
- If a monthly employee leaves in the first cycle of the month, that payslip pays for their days of the month as a once-a-month store would. Save the last working day before calculating the first cycle.
- After the cycle start day changes, a run that ends in a month holding runs closed before the change cannot be created or calculated; the message gives the day such a run must end on or after.
Fix pay after a period is closed
A closed or paid period cannot be edited. Create adjustment makes a draft run, but adjustment runs cannot yet be calculated, closed or paid here, because the full period's pay would be calculated again. Cancel that draft and record the difference outside payroll for now.
Good to know
- A run that is still a draft can be cancelled with Cancel this draft run.
- You cannot create a second run for the same period.
PND1, PND1Kor, 50 Tawi, tax allowances and the bank payroll file
On Payroll › SSO / tax settings, the Tax documents and bank payroll file section builds PND1 for a month, PND1Kor for a tax year and a 50 Tawi certificate per employee — only from finalized runs, so the figures match the payslips. Open a paper to print or save it as PDF, or download a CSV, or a TXT to import into the Revenue Department's RD Prep program. A payment counts in the month of the pay date recorded with Mark paid (otherwise the run's last day). Enter each employee's legal name, address, tax id and salary account there; the tax id and account number are stored encrypted. Employees (or payroll) enter their tax allowances — spouse, children, parents, insurance, provident fund, home-loan interest, donations — An employee's own entry waits until payroll approves it under Waiting for approval; then the monthly withholding uses it from the next run that is not finalized. A new year carries over only the people; amounts are entered again every year. The bank file pays each payslip's net amount: a generic CSV or the store's own column layout.
Steps
- Record the real pay date with Mark paid on each run
- Open Payroll › SSO / tax settings and scroll to Tax documents
- Pick the month or year and open PND1 / PND1Kor, or download CSV / TXT
- Show employees under 50 Tawi certificates and open each employee's certificate
Good to know
- The paper lists what is missing (tax ids, legal names, runs without a pay date) — fix those before filing.
- Only whole-store payroll users can issue 50 Tawi certificates.
- Banks do not publish their payroll file layouts; use the generic CSV or set the columns to match your bank's upload screen.
- Changing allowances never changes a finalized run.
- Withholding tax is worked out over the tax year: income is projected only over the months the employee works in that year (their start date and any recorded last working day), less what earlier payslips of the year withheld. Someone who starts mid-year or leaves is not over-withheld; payroll never refunds tax.
