Shift schedule, leave, shift changes and My work
Managers plan and publish the shift schedule and decide leave and shift-change requests; staff see their shifts, request leave, ask to swap shifts and clock themselves in from My work.
Plan and publish the shift schedule
On the Shift schedule page, pick the branch and a week or month view. Tap an empty cell or Add shift, then choose the employee, date, start time and end time. New shifts are drafts that staff cannot see until you tap Publish schedule.
Steps
- Pick the branch, then a week or month view
- Tap Add shift, or tap an empty cell in the grid
- Choose the employee, date, start and end time, then saveIf the end time is earlier than the start time, the shift is counted as running past midnight.
- Tap Publish schedule so staff see their own shifts
Good to know
- Overlapping shifts for the same employee are refused.
- Tap Copy previous week to copy last week's published shifts into this week as drafts.
- Tap Export to download a file, share the schedule as text in LINE, or print it.
- Editing a published shift changes the schedule staff see straight away.
Staffing needs, overtime / labour-budget alerts and auto-schedule drafts
On the Shift schedule page, tap Staffing settings to set how many people you need on each day and time block (per role if you like, or tap Suggest from sales), the roles each person can work, their hour limits and availability, and the branch's labour budget. The Staffing vs requirements card shows the blocks that are short or over-staffed against the published schedule, who is projected to work overtime, and labour cost against the budget. Tap Auto-schedule drafts for proposed shifts that fill the gaps, each with the reason it was chosen.
Steps
- Tap Staffing settings, enter the people you need per time block, then Save
- Tap Auto-schedule drafts to preview the proposed shifts and the gaps that cannot be filled
- Tap Create draft shifts, then edit them as you likeEverything is created as drafts; staff see nothing yet.
- Tap Publish schedule; the dialog lists what to check first (short-staffed blocks, overtime, over budget)
Good to know
- Overtime is projected from the schedule: hours over 8 a day or 48 a week are overtime that must be paid at the overtime rate (Thai LPA s.23 / s.61), so auto-schedule keeps people to 8 hours a day unless their own hour limit is higher.
- Labour cost uses the payroll terms (hourly rate × scheduled hours, monthly salary ÷ 30 per day) and leaves out overtime premiums.
- Auto-schedule never picks someone on approved leave, already working, outside their availability or at their hour limit.
Approve leave and set up leave types
The Leave & shift changes page lists pending requests with each person's remaining quota. Tap Approve, or Reject (a reason is required), right there. Tap Configure leave types to add types such as sick leave, with a yearly quota, whether it is paid and whether it needs approval. A manager can also tap Create leave request on an employee's behalf.
Good to know
- Approved leave can be revoked with Revoke leave (a reason is required) and the days return to the balance, but leave that is already inside a closed payroll period cannot be revoked.
- A leave type that requests already use cannot be deleted; deactivate it instead.
- If this page is missing, the owner can switch on leave in Settings › Store features.
Shift swap and give-up requests
Staff send a request from the Shift changes tab in My work: swap with a colleague by choosing the colleague and their shift, or give up a shift so the manager finds cover. Only shifts that have not started can be requested. Managers approve or reject in the Team hub or on the Leave & shift changes page.
Good to know
- Approving does not change the schedule automatically. The manager updates the shift on the Shift schedule page.
- If an overlapping shift is reported after approval, check and fix the schedule.
My work for staff
The My work page shows your own shifts by week, the tasks assigned to you, who is working today, your leave and your shift-change requests, without anyone else's pay. Shifts appear once the manager publishes the schedule. If the store lets staff see payslips, the My shifts tab also lists your own payslips from closed periods to download.
Good to know
- If it says your account is not linked to an employee profile, ask a manager to open the Employees page, select you and tap Link account.
- Tasks tab: tap Accept task, and when done tap Complete and submit (up to 5 proof photos). For an open task anyone can take, tap Accept this task.
Request or withdraw leave as an employee
The My leave tab shows this year's remaining leave. Tap Request leave, choose the leave type, start date, end date and number of days, then tap Submit request. A pending request can be cancelled with Cancel this request, and approved leave can be withdrawn with Withdraw leave before it starts.
Steps
- Open My work and choose the My leave tab
- Tap Request leave
- Choose the leave type, dates and number of days, then tap Submit request
Good to know
- You cannot request leave that overlaps a request you already have. If you have shifts in that period, you are warned that the manager will need cover.
Staff clock themselves in and out
On a store device that is already set up, the staff name screen has a Clock in / out button. The employee taps their own name and enters their own PIN. The time comes from the system, not the device clock. If they are already clocked in, they are asked to confirm before clocking out. Clocking does not sign anyone in. If a clock-in was missed or a time is wrong, tell the manager.
Good to know
- The account must be linked to an employee profile and have a PIN. After several wrong PINs the device pauses PIN entry for a while, as it does at sign-in.
- On the first day with a temporary PIN from the manager, the employee chooses their own new PIN right on the clock screen and is clocked in straight away.
- Managers can clock an employee in or out from the Team hub.
