Count stock and correct it to what is really there
Open a count for a branch, let staff enter what they counted, review the differences against the system, then close the count to adjust stock, or quick-count one item at a time.
Count stock in a count session
A count session suits counting a whole branch or zone. One count covers one branch, and stock does not change until you close the count; you can keep selling while counting.
Steps
- Open Stock count and tap Start a new count
- Pick the branch, add a zone or note, then tap Start countingIf the branch already has an unfinished count, the app takes you to continue that one instead.
- Enter what you counted for each ingredient on the counting screenYou can count in the unit you buy in, such as kg, litres or packs; the app converts to the base unit. Tap Add item to add an ingredient that is not in the count yet.
- Tap Review differences when you are done counting
- Check the items that differ, then tap Confirm and closeStock is adjusted to what you counted, and a closed count cannot be edited.
Assign a counter and reviewer, and count blind
If your store uses count controls, when you open a count you can set the zone, who counts, who reviews, how big a difference needs a recount, and hide the system quantity from the counter. The assigned reviewer closes the count.
Good to know
- Items whose difference is over the limit must be recounted before the count can close.
- In a blind count the counter only sees which items need a recount, never the system quantity or the difference. When the counter is also the reviewer, blind starts off.
Read the differences before closing
Review differences compares what you counted with the system quantity. Short means there is less than the system shows; Over means there is more. Items are sorted largest difference first. Items nobody counted are listed separately; before closing you choose to leave them unchanged (the default) or count them as 0.
Steps
- Look at the Large and Check items first
- Check the unit you entered, recent deliveries or transfers, and waste not yet recorded
- If a count was wrong, tap Edit counts and review again
Quick-count one item at a time on a phone or tablet
Quick stock count is for counting a few items without opening a count session. Pick the branch, tap an ingredient, enter what you counted (in the base or purchase unit) and confirm; that item's stock is adjusted straight away. You can also open it with the Count stock button on an ingredient's page.
Steps
- Pick the branch to count
- Tap an ingredient, enter what you counted and tap Save countIf it equals the system, tap Match system right in the list.
- Check the difference, then tap Confirm and go to nextOn the last item the button is Confirm & Save.
- Tap Finish counting when you are done
Who can count, and what to watch for
Saving a count needs inventory management access (a manager or the owner), and every adjustment records who made it and when. If you opened a count by mistake, tap Cancel count before closing it; nothing is adjusted.
Good to know
- Don't use counts to cover the same error again and again; find the cause, such as a wrong recipe or unit, first.
