Reorder points, stock levels and what to order
Set each branch's reorder point and target stock, then let the system tell you what to order, how much and from which supplier.
Set the reorder point, target and ceiling
Reorder points & stock levels are set per branch. The reorder point is when to order, the target is how far to top up, and the ceiling is the most to keep (optional). Numbers are in the ingredient's smallest unit, such as grams, millilitres or pieces.
Steps
- Pick the branch
- Filter to No level yet or Incomplete
- Enter the reorder point and target (and a ceiling if you want one)Blank means not set, and Ceiling must be at least Target, which must be at least Reorder point.
- Choose Save or press Enter
Good to know
- Only people who manage inventory can change levels; others can only view them.
- Choose Remove to take a level off; that ingredient will no longer prompt a reorder.
Choose a preferred supplier
On an ingredient's row, choose Choose or Change under Preferred supplier. It groups the reorder list and splits purchase orders by supplier. If the store has no suppliers yet, add one on the Suppliers page first.
See what to order and the suggested quantity
Reorder suggestions lists the branch's ingredients at or below their reorder point, grouped by preferred supplier. The suggested quantity is target minus on hand, rounded up to whole purchase units when the ingredient has a purchase unit.
Good to know
- An item without a target shows Quantity unknown; choose Set a target.
- When nothing needs ordering it says stock levels are healthy.
Create purchase orders from the suggestions
Tick the items to order and choose Create draft purchase orders. You get one purchase order per supplier with the suggested quantities. These drafts have no prices yet: open each one, choose Edit, enter the prices, then send it to the supplier.
Steps
- Pick the branch and tick the items to order (or Select all)
- Choose Create draft purchase orders
- Open each purchase order, check quantities, enter prices and send it
Good to know
- Items with no preferred supplier go on one order; pick the supplier on that order later.
- To compare prices first, choose Open the order cart (compare prices) to go to Order products.
- Creating purchase orders needs advanced inventory switched on; until then, use the list as a shopping list.
Why an ingredient is not on the list
An ingredient shows up when that branch has a reorder point for it and stock is at or below it. Check the branch, that a reorder point is set, and that the ingredient is not marked discontinued. If the system's on-hand figure is wrong, count stock first.
