Approve AI drafts and revert changes made by AI
Review AI app drafts and approve or reject them, and see everything an AI changed in the store with before and after values, reverting changes nobody has edited since.
Where AI drafts come from and who sees them
Drafts come from AI apps the owner connected with Create drafts for approval allowed, such as a menu price change, switching a menu item on or off, a new menu item, a purchase order from low stock, a new supplier, a shift, a store setting like the store profile, opening hours, menu categories or option groups, a new stock item or menu recipe, or a promotion. A draft changes nothing yet. The AI drafts to approve menu item shows how many are waiting, and the AI assistant page shows an AI drafts awaiting approval banner when drafts wait.
Good to know
- Each person sees only the drafts they hold every permission for; a menu price draft needs menu management.
- The in-app Operations Copilot does not send work here; you confirm on the Copilot screen itself.
- People who may not view costs do not see unit costs or totals on purchase order drafts.
Approve or reject a draft
Each draft shows the app that created it, the current and new values, and the reason from the AI app, which is text the AI typed and has not been verified. Pressing Approve and apply carries it out immediately in your name and records it in the change history.
Steps
- Open AI drafts to approveOr follow the link the AI app gives you; that draft is highlighted.
- Check the current and new values and the AI's reason
- Add a decision note if you want
- Press Approve and apply, or Reject
Good to know
- An approved purchase order draft creates an open purchase order; nothing is sent to the supplier.
- An approved shift draft creates a draft shift; publish the schedule yourself on the schedule screen.
- If your account may not do it, or a required feature is off, the draft keeps waiting for someone who can approve it.
Drafts that were not applied or expired
If the data changed after the draft was made, for example someone already edited the price, nothing is applied and the draft shows Not applied with the reason. Drafts expire after 7 days and can be approved once. Decided drafts are on the History tab. If you still want the change, have the AI app create a new draft.
Good to know
- Disconnecting the app, or connecting it again, expires its pending drafts at once.
- One app may have at most 50 drafts waiting and create at most 30 per hour.
See everything an AI changed
Changes made by AI lists direct changes by AI apps, approved drafts, the in-app Copilot, AI menu translation and AI-composed menu items, with before and after values and who approved or confirmed them. Filter by source, status (Not reverted yet by default) or dates. The page shows 200 changes at a time; press Load older changes to see more.
Good to know
- Open it from Quick Navigation search, or from Settings › AI connectors on an app with direct changes.
Revert changes made by AI
Select changes one by one, or every revertable change in the results, then press Revert selected and confirm. Changes are reverted one at a time, newest first, and the previous value is restored only where nobody has edited or used the record since. A change edited later by a person or another AI, even back to the same value, shows Cannot revert automatically with the reason; fix it on its own screen.
Steps
- Filter to the changes you wantFor example, choose that AI app as the source.
- Tick the changes, or select every revertable change
- Press Revert selected, then Revert to confirm
- Read the summaryIt shows how many were reverted and why any were skipped.
Good to know
- Records an AI created can be reverted while unused: a supplier is archived, a draft shift is cancelled, an open purchase order is cancelled, and an AI-composed menu item that was never sold is deleted.
- Reverts are recorded in the name of the person who pressed it, and the same change cannot be reverted twice.
