Send daily sales to FlowAccount automatically

Connect FlowAccount

First request Open API access from FlowAccount (their request form; a supported plan is needed). FlowAccount emails the business owner a Client ID and Client Secret. In Settings › Accounting sync choose Test (sandbox) or Live, paste both and tap Test connection. They are stored encrypted; only the last 4 characters of the Client ID are shown.

3. Tap Test connectionIt only requests a token; no document is created

• Owner or anyone who may manage store settings; staff bound to one branch cannot

What is sent, and when

With automatic sending on, every morning between 03:30 and 06:00 the sales of settled days (two days ago, because a bill can be reopened for 24 hours) are sent as one cash-sales document per branch, marked paid, one line per VAT rate whose amounts and VAT match that day's output VAT summary, with the payment breakdown in the remarks. Sending starts on the day you connect; earlier days are not back-filled on their own. BoxBak never creates tax invoices or receipts in FlowAccount. The CSV import file still works.

Good to know

• A day without sales shows No sales
• A negative day, or one whose VAT lines do not add up, is not sent; use the CSV instead
• FlowAccount records the whole day as received in cash, even the transfer and card takings (the breakdown is in the remarks). Tell your accountant

Failed, resend and mark voided

If a sent day's figures change later, the screen says so and the store is notified; fix the document in FlowAccount. Each day is sent once (separately for test and live). If it failed, tap Resend with a reason. If it says Unknown, check FlowAccount first; if there is no document, or you voided it there, tap Mark voided and the day can then be resent, so a day is never sent twice. The AI assistant and MCP can tell you up to which day sales were sent and which days need attention.
